What to Cover During Pre-Departure Meetings

  • Address money and communication matters.
    • Learn more on our Money Matters page in Getting Ready to Travel and direct Students and Parents to this resource.
  • Address student behavior guidelines and any additional school/community policies.
  • Complete and distribute the final Emergency Contact List to participants and their families.
  • Distribute the ACIS luggage tags.
  • Create a social media plan.
    • Many groups stay connected while on tour anyway, and it can be really fun for family members at home to follow along with your trip by seeing photos that your group posts each day.
    • If your group plans to do this, we recommend creating a unique #hashtag now and sharing it at your meeting with family and friends to start the fun before you leave.
    • You could even designate one or more students to do the social media posts for the group on each day of the tour.
    • Make sure to tag #ACIS as well because we love to see what groups are doing overseas.
  • 30 days prior to departure: Remind everyone that all final details are available in My Account once confirmed.
    • At this time, family members at home can access confirmed flight info, hotels and day by day itinerary. They can even learn a little bit about their ACIS Tour Manager!
