Introducing a New ACIS Recruitment Tool

Growing your educational travel group just got even easier with the new ACIS recruitment tool!

Hosting a recruitment meeting has always been a key part of recruiting a group. Our new tool provides you an easy way for participants to RSVP. You can then see who is, and importantly, who is not signed up to attend. And, ACIS will send meeting reminders on your behalf to improve the liklihood that everyone shows up. We know once they hear about your upcoming adventure, they’ll be interested, so let’s get them there!

The Importance of Recruitment Meetings

To recruit a group, we recommend you host trip recruitment meetings. Your program consultant will provide you with a customized PowerPoint to showcase the big highlights of your trip and provide key information for parents and participants.

One educational travel myth is that the number of participants you recruit after your first meeting is the size of your group. We recommend hosting additional recruitment meeting to build interest over time and get you to the group size you want. Remember, you only need 20 participants on a European tour or 15 participants on a tour to Asia, Central or South America to enjoy a private tour!

How The Tool Works

Our new tool provides you with an easy way for participants to RSVP to these recruitment meetings. You can then keep track of who has RSVP’d and we’ll send emails to remind everyone to attend the meeting and eventually sign up for your tour.

RSVP Page: Within your group leader My Account, you will see a tab labeled “Recruiting Tool” within each of your upcoming trips. You can then schedule a meeting. This will generate a webpage like the one below for you to share with your students and parents. Students and parents can then RSVP right on this page and add any questions or comments they’d like discussed at the meeting.

Participant Lists: Everyone who RSVPs to your meeting will appear as Potential Participants in your trip’s Participant List. You can see who is (and importantly, who is not) signed up to attend. Has there been someone who expressed interest, but has not RSVP’d? Reach out again. And once on the list, you can email directly from My Account.

Email Reminders: We have created a series of emails to help keep you organized and ensure your participants show up to the meeting and register for your trip.

  • RSVP alerts to you whenever a student RSVPs to your meeting.
  • RSVP confirmations for the students themselves. The email will include the date, time and place of the meeting, including the link if the meeting will be held virtually. They will also be able to add the meeting directly to their online calendar.
  • Email reminders the day before the meeting. Everyone is busy and has at one time or another forgotten about an appointment, even one they were looking forward to. We’re hoping our reminders help close that gap and ensure you get the attendance you are hoping for.
  • After the meeting, everyone who RSVP’d will receive an email with your trip’s customized Trip Site and a link to register for your tour. Let’s keep that momentum rolling and sign students up for a life-changing journey!

All of these features are in service of making it easier for you as the Group Leader to keep track of your communications, gauge potential participant interest, and recruit a group.
